Privacy notice
Last updated: 2 November 2026
Who we are
UK Privacy Solutions Limited is a company registered in Northern Ireland, company number NI743366, with its registered office at Titanic Suites, 55-59 Adelaide Street, Belfast BT2 8FE, United Kingdom.
This notice explains what we do with personal data for which we are the controller. It is about our own handling of information. It does not describe what the organisations we represent do with your data, which is set out in their own privacy notices.
We are registered with the Information Commission, the UK supervisory authority for data protection, under reference ZC282374. We are not required to appoint a Data Protection Officer and have not appointed one. Enquiries about this notice should go to privacy@ukprivacysolutions.co.uk.
What we collect, and why
If you contact us as a data subject, we hold your name, the contact details you use, the content of your enquiry or request, and our correspondence with you. We also keep a log recording the date your request arrived, the organisation it concerns, and the date we passed it on.
We hold this to carry out our function as a UK representative under Article 27 of the UK GDPR, and to maintain the record of processing activities required by Article 30. Our legal basis is compliance with a legal obligation under Article 6(1)(c). Where we keep correspondence for our own administration and records, we rely on our legitimate interests under Article 6(1)(f) in running the business and being able to evidence what we did and when.
We do not ask for special category data and have no need for it. If you choose to include it when explaining a request, we hold it only as part of your correspondence and pass it on with the rest.
We also hold ordinary business contact details for the organisations we work with, our suppliers and our professional advisers, on the basis of our legitimate interests in running the business and performing our contracts.
Sending information outside the UK
The organisations we represent are established outside the United Kingdom. That is what makes an Article 27 representative necessary in the first place. So when we pass your request on, your information is transferred out of the UK to the country where that organisation is established.
That transfer is necessary for the performance of the task you have asked us to carry out, namely getting your request to the organisation that can act on it. If you would like to know which country a particular organisation is established in before you contact us, ask and we will tell you.
How long we keep it
We keep correspondence and the request log for six years from the end of the year in which the matter was concluded. That reflects the period during which a claim could be brought and the period for which we may need to show the Information Commission what we did.
Business contact details are kept for as long as the relationship continues and for six years afterwards. Anything we no longer need is deleted.
Your rights
In respect of the personal data we hold as controller, you have the right to ask for a copy of it, to have it corrected, to have it erased, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on legitimate interests, you can object and we will stop unless we have compelling grounds to continue.
To exercise any of these, email privacy@ukprivacysolutions.co.uk or write to us at the address above. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commission at ico.org.uk, or by telephone on 0303 123 1113. You can complain to them without contacting us first, although we would rather have the chance to put it right.
This website
This site does not use analytics, advertising or tracking cookies, and it does not profile visitors. We do not operate a contact form, so the only way to reach us is by email, telephone or post, and nothing is collected from you simply by reading these pages.
If that changes we will update this notice and the date below before the change takes effect.
